Job Introduction

We are looking for an enthusiastic and motivated individual to administer and co-ordinate all jobs within our in-house Design Studio. The studio is a dynamic, fast-paced, 'tight deadline', creative environment where ideas come to life. Working with a wider team of administrators, designers, editors, online set-up artworkers and constructors, this role sits within a friendly, fun team, and every day brings new challenges.

This is a part time role working 22.5 hours per week. The days / hours are flexible.  This opportunity is available on a fixed term contract basis for 6 months.

We operate a hybrid working model combining some days in our Support Centre in Wakefield with some days working from home, depending on business demand. 

Main Responsibilities

The Studio Admin team is responsible for the creation and updating of all the documentation that tracks the jobs through the studio workflow from beginning to end. Working closely with commercial, design, production, merchandising and supply chain, typical duties include:

  • Creation of master list spreadsheets for each card, gift and celebration essentials and online project
  • Creating MS workflow planners for each card, non-card and online project
  • Updating and maintaining accurate information throughout each step of the workflow process
  • Populating sales data spreadsheets with visuals for each card project
  • Generating a virtual rack plan with all relevant info required for each card project
  • Printing and trimming of all designs for each card project
  • Updating info on our Filemaker database to maintain accurate records of all card jobs
  • Creating 'request for quote' documentation
  • Maintaining physical racks with up-to-date card plans
  • Effective communication with other studio colleagues, wider commercial and supply chain teams on a regular basis.

The Ideal Candidate

  • GCSE English and Maths (or equivalent – grade C or above) - essential
  • Some experience within a similar admin role - essential
  • Advanced or intermediate competency in Excel – essential
  • Competent user of other multiple/varied MS packages (Teams/Outlook/Word) – essential
  • Previous experience of working in a creative/studio setting - preferred but not essential
  • Mac computer literacy – preferred but not essential
